Most real estate dialers start at row 1 of the CSV and grind down. The list is ordered by whatever the skip-trace vendor exported — alphabetical by last name, or the order the county records came back. That order has nothing to do with who's likely to pick up. So your agents burn their sharpest, highest-energy hour on a random slice of the list, and the contacts most likely to answer are just as likely to sit at row 4,200 as row 12.

Connect rate isn't flat across the day

Cold-call connect rates for real estate lists usually land somewhere in the 8–15% range — meaning most dials go nowhere. But that average hides big swings by hour. Rough industry patterns (frame these as approximations, not gospel):

  • Late morning (10–11:30 a.m. local) and late afternoon (4–5:30 p.m. local) tend to connect best.
  • Lunch (12–1 p.m.) and early morning before 9 tend to connect worst.
  • Quiet hours — before 8 a.m. or after 9 p.m. local — you shouldn't be dialing at all (more on that below).

If your best two windows push connect rate from, say, 9% to 14%, and your worst windows drag it to 6%, then which contacts you dial during the good windows is a real lever. Feed the dialer your highest-probability contacts when connect rate is naturally highest, and you compound two advantages instead of wasting one.

The three variables that actually predict a pickup

You don't need a data science team. Three fields you already have in your CRM do most of the work.

1. Time zone

This is the one everyone gets wrong first. If your team sits in Central time and dials top-to-bottom, you'll hit Eastern contacts at 8 a.m. local (their time, past your first coffee) and Pacific contacts at 6 a.m. their time — which is illegal to dial and useless anyway.

Sequence so that each contact gets dialed inside their good window, not yours. Practically: dial Eastern contacts first thing, roll west as the morning goes, and hit Pacific in your afternoon.

2. Prior-attempt count

A number you've dialed 6 times with no answer connects far worse than a fresh one. But don't dead-drop high-attempt contacts — space them out. A reasonable rule:

  • 0–2 attempts: dial during peak windows. Highest expected value.
  • 3–5 attempts: dial during shoulder windows.
  • 6+ attempts: low-priority, or move to a text/voicemail-drop track instead of burning live agent time.

3. Lead age

For inbound or web-sourced leads, age is brutal. A lead that came in 90 seconds ago connects at a dramatically higher rate than the same lead three days later — the person filled out the form, they're at their desk, they remember doing it. A worked sequencing plan

Here's how I'd order a real day for a Central-time wholesaling team running the dialer 9 a.m.–6 p.m.

Fresh inbound leads override everything — the moment one lands, it goes to the front, regardless of what window you're in. Speed beats sequence for a hot lead.

Notice what this does: your two best natural windows (late morning, late afternoon) are aimed at fresh, low-attempt contacts in the right time zone. You're not saving those contacts for row 4,200.

Quiet hours aren't optional — build them into the sort

The reason time-zone sequencing isn't just efficiency is that dialing outside 8 a.m.–9 p.m. local to the recipient is a TCPA problem, and states layer their own tighter rules on top. A single wrong-time call to the wrong person is real exposure.

Pair the dial with an instant text

Sequencing gets more contacts to connect. But roughly 85–90% of dials still won't reach a live person, even in your best window. That's where the auto-text earns its keep.

Quick cost-per-connect math: say a rep makes 300 dials in a day at a 10% connect rate — 30 connects. At an average 90-second dial (1.5 min × 300 = 450 minutes), that's 450 × $0.0375 = $16.88 in minutes for 30 connects, or about $0.56 per connect. The list order your skip-trace vendor handed you is optimized for nothing. Re-sort it by three fields you already have — time zone, prior attempts, lead age — and aim your peak agent hours at fresh, low-attempt contacts in the right zone. Let fresh inbound leads cut the line. Cover the no-answers with a voicemail drop and an auto-text, and scrub litigators before anything enters the queue.
